Scope and Responsibilities
Oaktree’s Marketing Group is seeking an individual to join its Asia team, to own the administration and sales support, which underpins all activity in the region.  This role, working in partnership with the Marketing Assistants in Asia, is responsible for the smooth running of marketing operations focused on business development and fundraising activities with institutional investors and intermediary distribution channels in Asia, specifically for Korea.

Managing the logistics of travel and meeting management:

  • For the team with clients and prospects 

  • Monitor future visitor calendar for upcoming Oaktree visitors to the region

  • Host incoming Oaktree PM and senior managers and liaise with their respective Assistants as required;

  • Schedule heavy travel arrangements and preparing detailed itineraries as needed;

  • Arrange visa and entry administration to ensure smooth travel across the regions;

  • Set up meetings, conference calls and events as required;

  • Maintain calendars with the relevant information as per Sales Force/Client relations standards

  • Prepare meeting information and marketing collateral as required 

Sales support:

  • Client investment quarterly reporting

  • Manage the marketing collateral inventory and logistics of producing and shipping materials as required

  • Become the Sales Force super user for the team, manage data input and reporting as required – develop a proactive approach to managing the information under the guidance of the marketing reps

  • Performing research via the internet and subscription-based research portals as requested;

  • Maintain contact databases for managing mailing and distribution lists

  • Co-ordinate fund launch communication 

  • Manage the administration for onboarding new and prospective clients, gather the appropriate information and ensure completion of the CPI/IPI forms

  • Administer access to the data site

General Administration:

  • Internal meeting and calendar management

  • Answering, screening and managing incoming phone calls, faxes and mail from executive level clients

  • Processing correspondence and letters;

  • Translating documents from English into Korean and vice versa;

  • Managing incoming invoices; 

  • Reviewing, preparing and managing expense reports;

  • Manage the compliance reporting for gifts, meals and entertainment;

  • Developing and maintaining the filing system; and

  • Performing other administrative duties as needed, such as copying and ordering supplies

 Experience Required

  • Minimum 2 years of experience;

  • Outstanding follow-up and organizational skills with a strong attention to detail;

  • Proven experience utilizing internet resources;

  • Proven ability to manage tasks with competing priorities and deadlines, independently determining order of priority and self-initiating other value-added tasks; 

  • Strong working knowledge of Microsoft office applications including Excel, Word, PowerPoint and Outlook; knowledge on Salesforce, Pardot and Intralinks would be an advantage; and

  • Mandarin and English Language fluency is necessary; Korean language is a must.

 Education
Bachelor’s degree is required.
